Point Hope United Methodist Church is currently accepting applications for the position of Administrative Assistant.

  1. Position Title
    Administrative Assistant
  2. Summary of Position
    The Administrative Assistant offers secretarial support to the Ministries of Point Hope UMC. The position will be part-time.
  3. Responsibilities
    1. Serve as receptionist for people as they call, email, or visit the church office; check the pastor’s calendar as needed; check and make sure outside groups leave in an appropriate state
    2. Create materials for Worship
      • Prepare worship bulletins for weekly and special services
      • Assist with Pro Presenter announcements and worship slides as necessary
    3. Maintain a calendar of volunteers to assist in worship and send reminders to those who volunteer
    4. Maintain a list for people to contact substitutes as needed
    5. Maintain prayer list with Minister and assist with distribution of prayer requests to the home bound members
    6. Order flowers for special occasions
    7. Help facilitate professional and fluid church organization
    8. Facilitate work of church committees, including meeting reminders, preparing meeting materials, filing minutes, and other tasks as needed
    9. Office support for Sunday School and education programs as requested
    10. File as necessary, discard as necessary, and maintain all pertinent records
    11. Keep church calendars updated
    12. Sort incoming mail for church; process outgoing mail
    13. Maintain a neat and attractive office
    14. Order necessary office, worship, and fellowship supplies
    15. Coordinate service of office equipment
    16. Weekly check in with the Minister
    17. Mandatory bi-weekly staff meeting
    18. Serve as church membership secretary
      • Update membership records (weddings, deaths, baptisms, confirmations, new members, transfers, withdrawals, address changes) in computer and membership book
      • Maintain Realm membership software
    19. Record contributions from members in church membership software each week (This may be done by the Financial Secretary as feasible.)
    20. Prepare certificates and correspondence
    21. Maintain birthday list and mailing list
    22. Assist with church promotion and public relations
      • Collect info for and prepare bi-weekly e-newsletters
      • Update church website and Facebook pages
    23. Assist with church promotion and public relations (including putting materials on the Christian radio stations)

  1. Compensation
    The position requires 15 working hours per week. Standard hours would be 9am – Noon, Monday-Friday.  Pay is $13.00 per hour. The Administrative Assistant will receive national holidays and will also receive 2 weeks paid vacations during the year.  The week of Christmas and Easter are required.  Salary and vacation time will be reviewed annually.
  1. Accountability
    The Administrative Assistant will report directly to the Minister. Like all staff members at Point Hope UMC, the Staff Parish Relations Committee will work with the Minister in completing evaluations, suggestions for growth, and being a resource to help equip the Administrative Assistant for the work of the ministry and for one’s own spiritual growth.
